The Jaggard Macland Guide to Commercial Property Management

If you're a landlord without a dedicated managing agent in your corner, the chances are you're spending more time (and money) on your commercial property than you need to.

If you own commercial property, you'll know that buildings don't look after themselves. Boilers break, leases expire, service charges spiral, and compliance obligations can seem never-ending at times.

Commercial property management is the discipline that keeps all of this under control and if you're a landlord without a dedicated managing agent in your corner, the chances are you're spending more time (and money) than you need to.

At Jaggard Macland, we've been providing commercial property management services across the southeast and M4 corridor for many years. Here, we answer the questions landlords most often ask us.

What Does Commercial Property Management Actually Cover?

It's a broader remit than most people realise and involves far more than just collecting rent. Commercial property management encompasses the day-to-day running and strategic oversight of commercial buildings on behalf of their owners. In practice, that includes:

  • Service charge budgeting and administration
  • Planned maintenance programmes
  • Compliance management
  • Tenant liaison and issue resolution
  • Contractor management
  • Lease compliance and administration
  • Financial reporting
  • Managing repairs and major works
  • Long-term asset planning

As Steve Macdermott, Partner at Jaggard Macland, explains:

“Property management works best when it is proactive rather than reactive. The earlier issues are identified, the easier and more cost-effective they usually are to resolve.”

That forward-thinking approach is particularly important as landlords face increasing legal and compliance responsibilities. Good commercial property management protects the value of your asset, keeps your tenants happy, and gives you peace of mind.

Why Do Landlords Need a Professional Managing Agent?

This one’s pretty simple to answer - the alternative is doing it yourself and most landlords don’t have the time to keep on top of everything.

Beyond the time commitment, there's a knowledge question too. Regulations change, lease terms are complex and in recent years maintenance costs have risen sharply. Without professional oversight, it's easy to miss something that ends up being expensive to fix.

As Steve puts it: "Good property management is largely invisible to landlords, things just get done. It's only when it's not there that you notice how much was being held together."

A managing agent also brings buying power, contractor relationships, and the kind of oversight that individual landlords can't replicate on their own.

Why Commercial Landlords Need a Proactive Approach

Commercial buildings are valuable assets, but they only if they are properly maintained and well-managed.

We regularly work with landlords who have inherited portfolios that have been managed reactively for years. We see things like the backing up of maintenance issues and incomplete documentation. There is often little visibility or planning for future expenditure and this creates uncertainty for both landlords and tenants.

A well-managed property will have a clear strategy behind it. Planned maintenance schedules, regular inspections and accurate reporting all help landlords make informed decisions rather than expensive last-minute ones.

Our Building Surveying team often works closely with Property Management colleagues to provide additional technical knowledge.

A recent example is a residential development in Maidenhead comprising 16 apartment blocks and around 200 units. Our Director of Building Surveying, Phil Pearcey, was appointed to prepare a planned maintenance schedule and oversee ongoing repair works across the site.

While residential in nature, the principles are exactly the same for commercial landlords.

Phil says: “Having a clear understanding of a building’s condition allows owners to plan ahead properly. It reduces the risk of unexpected costs and helps ensure maintenance works are carried out in a cost-effective way.”

What Should I Look For in a Commercial Property Manager?

A few things matter above all else:

Proactivity

You want a managing agent who spots problems before they become expensive, not one who waits for you to call.

Transparency

Clear reporting, honest costings, and no surprises on service charges.

Local property knowledge

The southeast has its own property market dynamics, from the competitive office market around Marlow to the mixed-use development activity in Maidenhead. A managing agent who knows the area is an asset.

The right management systems

Back-office infrastructure matters more than most landlords realise. Poor systems mean delays, missed deadlines and reactive rather than planned management.

People

Ultimately, property management is a relationship business. You want a team you can trust and reach when you need to.

Strengthening the Jaggard Macland Property Management Team

We've recently welcomed two significant new clients to our commercial property management portfolio: a well-regarded housing and property organisation has brought us a portfolio of approximately 100 units across the UK, including rent collection. We have also taken over the property management for MMC, who have over 40 properties based in Surrey and surrounding areas.

In adding new clients, we’ve also added to our Property Management team.

Adam Marshall joined Jaggard Macland in April as Director of Property Management. He brings with him over 20 years’ experience in the UK property market. Previously an Associate Director at Colliers, Adam has asset management experience and has acted for FTSE companies, pension funds, institutional investors and private individuals on diverse property portfolios.

Adam’s appointment further strengthens our capacity to deliver the proactive, hands-on service our clients expect.

Investing in Better Systems for Better Commercial Property Management

And whilst we believe strongly in the people being central to all our property dealings, there’s no doubt that good commercial property management also relies heavily on good organisation, which includes responsiveness and accurate information.

Over the past year, we recognised that our previous software platform was no longer supporting the way we wanted to work. As a result, we invested in a completely new property management platform across the business.

The system improves reporting, compliance tracking, maintenance planning and communication across portfolios. It also allows our team to access information more quickly and respond faster to issues raised by clients or tenants.

For our landlords, the benefits are practical:

  • Better visibility over costs and compliance
  • Faster responses to maintenance issues
  • Improved reporting
  • Reduced risk of key dates or obligations being missed
  • More proactive asset management

The platform also includes AI-supported functionality to streamline routine processes, freeing up our surveyors and property managers to focus on higher-value work and client advice.

The transition, led by Steve Macdermott, has been completed across the team, with comprehensive training now in place.

"We reached a clear conclusion that our previous system was no longer serving the level of service we expect to provide," says Steve. "The new platform gives us and our clients much better visibility. Information is easier to access, reporting is more intuitive, and we can plan ahead rather than react."

Commercial Property Management Across Buckinghamshire and Beyond

We manage commercial properties across Buckinghamshire and the home counties, including Beaconsfield, Amersham, High Wycombe, Gerrards Cross, Chesham and Aylesbury, alongside portfolios further afield.

Our clients range from private investors and family property companies through to larger organisations with multi-property estates.

Some landlords want a fully outsourced management service, whilst others need support with specific areas such as planned maintenance, service charges or compliance.

The key is having experienced professionals who understand both the technical and commercial side of property ownership. We pride ourselves on our excellent service and relationship building, as one of our clients explains:

"Jaggard Macland have been managing agents for Bloomsbury Properties Ltd for more than 40 years. During that time, they have managed every type of commercial and residential property investment and made critical contributions to successful trading and development projects. I would recommend Jaggard Macland without hesitation. Their service is always excellent, professional, thorough, and efficient. Their advice has proven invaluable over the years."
